But, before going to Looker Studio Pro, let’s first quickly understand what is Looker Studio?

Looker Studio is complimentary self service BI for your organization by GCP. Looker Studio enables anyone to start analyzing their data in a few minutes, whether that’s modeled data in a data warehouse, data in a sheet, or a combination of the two. It’s easy to create beautiful, quickly shareable reports that leverage the speed and power of BigQuery and BI engine to get insights from large amounts of data in a go. That ease of use means more people in an organization can get insights from their data without having to wait for a central team, and make data-driven decisions at the speed of the business.

Looker Studio Pro

Looker Studio Pro is the paid version of the Looker Studio, offering support, SLAs & Admin capabilities. Looker Studio Pro is the premium version of Looker Studio. With Looker Studio Pro, you get access to all the features of Looker Studio that you already know, plus enhanced enterprise capabilities and technical support.

Looker Studio Pro is designed to support medium to large scale enterprise environments, delivering team-level collaboration and sharing, while honoring corporate security and document management policies — all at a low price per user.

Looker Studio Pro empowers teams to work together on content, without worrying about visibility and manageability issues that can arise with self-serve BI.

So, the next time you want to onboard a new hire and give them access to 50+ BI reports at once, or want to know the downstream impact of deleting a BigQuery table on your reports, or get admin permissions to all reports in your organization, Looker Studio Pro enables you to do so in a matter of minutes. You also no longer need to go through ownership transfers every time an employee leaves the organization, since all assets are owned by the organization. Collaboration At Scale

Bulk Manage Access in Team Workspace

With Team Workspaces, users will be able to bulk manage sharing access and permissions.

When a new hire joins the team, and the managers needs to grant them access to 10–15 dashboards, they no longer need to go to every single dashboard and do it one by one. They can simply create a team workspace, move in all the content, and grant access to the team members, and the new hire.

Organization-Owned Content

With Looker Studio Pro, if anybody leaves the organization, you no longer have to transfer the ownership of the assets they have created. The organization owns the content created in Looker Studio Pro, managed through the Google Cloud Platform project by default. You will have to link your Looker Studio Pro content to a Google Cloud project to ensure that all your critical assets will continue to work even if the person who created them leaves the organization. Manager and Content Manager roles can be assigned to several people for shared owner-like roles.

Team Workspace Roles in Detail

Basic Roles:

  • Viewers can view the asset, see the data, and interact with viewer-level controls.
  • Editors can modify the asset.
  • Owners have complete control over the asset.

Team workspace roles grant additional permissions to all assets in a workspace. You can grant the following roles at the team workspace level:

  • Contributors can view and modify all the assets in the workspace. All members of a team workspace have the capabilities that are provided by the Contributor role.
  • Content managers can add members to and remove members from the workspace.
  • Managers have complete control over the assets in the workspace and can add, remove, and define roles for all the members of the workspace.

Automate Report Delivery

Multiple Schedules per Report

Many a times, users need to distribute the same report to different destinations and recipients based on varying criteria. Now with Looker Studio Pro, “Multiple schedules per report” feature allows users to deliver the same report to different recipients as per their desired cadence and filter criteria.

Users can manage all the schedules for a report in a single view. Users can also use ‘send now’ for an immediate delivery and activate/deactivate their schedules when needed.

Google Chat Delivery Schedule

If you have Looker Studio Pro, you can send reports to individual users and Chat Spaces. With this integration, users can schedule Looker Studio reports to individual DMs and spaces in Google Chat, and center conversation around the data.

Scheduled Google Chat delivery posts a message to the recipient users or spaces. The message is posted from the Google Chat account of the schedule’s sender. The message includes the following elements:

  • A PDF attachment of the report
  • A View in Looker Studio link
  • An Unsubscribe link that unsubscribes the user or space from the schedule

Filter Schedules by Recipient’s Email Address

If you have Looker Studio Pro, you can personalize the data in the scheduled reports that are delivered by email. To use this feature, you must first specify an email address field for each data source in the report that you want to personalize. You’ll then see the “Filter the delivered report data by recipient’s email address” option when creating or editing your schedule.

Share Personal Report Links to Explore

To share an editable report with someone while preventing changes to your original report, give them a personal report link.

A personal report link creates a copy of your report that is only accessible to the person who opens the link. Changes made to either the original or the private report will not affect the other report.

For example, let’s say you’ve created a report with marketing spend details for the last quarter. You want to share this information with your CMO so that she can analyze the data and make forecasts for the next quarter. However, other people also rely on the data, so changes to the original report could cause confusion. Instead of manually creating a separate copy of the report and data sources for the CMO, you can give her a personal report link. When she opens the link, she will have her own copy of the report that she can explore and modify. Any changes she makes will not affect the original report, so other users can continue to rely on the numbers from the last quarter.

Looker Studio Mobile App

Users want to consume their content on the go, when they need answers quickly and take action. Users previously need to create separate versions of their reports to consume them on the mobile devices.

Users will be able to view mobile friendly reports on the go, using Looker Studio Mobile app. Mobile friendly reports will be available, without report creators creating separate versions. Users will be able to choose between mobile friendly and default desktop version.

The Looker Studio Mobile App is available for both Android and Apple iOS devices. The Looker Studio mobile app uses the roles, permissions & access settings specified in the Looker Studio web application. The Looker Studio mobile app uses Google OAuth to authenticate user accounts.

By default, Looker Studio reports are displayed as a web report (original version) in the mobile app. If a mobile friendly version of a report is available, a message at the top of the report will prompt you to switch to that view.

You can switch between mobile friendly and original version by selecting the three-dot menu at the top right side of the screen and selecting “Switch to mobile friendly report” to view the mobile friendly version, or “Switch to web report” to view the original version.

Upgrade Looker Content to Looker Studio pro Content

To upgrade your existing Looker Studio content to Looker Studio Pro, simply move your reports and any reusable data sources out of your “Owned by me” location and into a team workspace or your “Sandbox” under a Pro project. You’ll be able to use Looker Studio Pro features with your upgraded content immediately.

In Looker Studio, the content — reports, data sources, and explorations — that you create lives in the “Owned by me” location in the left navigation. Even if you share the content with someone else, you are still the owner.

Looker Studio Pro content, on the other hand, lives either in a team workspace or in a Sandbox. If your administrator has set up a default Pro project, and you have a Pro license on that project, you won’t see “Owned by” me in your left navigation. You can create content only in your Sandbox or in a team workspace.

Looker Studio versus Looker Studio Pro

The two versions of Looker Studio offer different levels of help and support:

  • Looker Studio is available at no cost to anyone who has a Google account. Support is available from the public Help Center and from the community of other Looker Studio users. The no-cost version of Looker Studio has no SLAs, and 1:1 support is not available.
  • Looker Studio Pro is the paid version of Looker Studio. In addition to enhanced enterprise features, technical support is available from the Google Cloud Support Team.
