If you are new to using Trainerize and want to learn more about it, this article will give you an overview of how to create an account with them and book sessions with clients.

Step 1. Create an Account on Their Website

In order to use the Trainerize app, you need to create an account on their website:

Part of your account creation includes specifying your business name, which Trainerize will use to create you your own web domain through their website.

After clicking “create my account,” you will be taken to your new domain (www.your_business_name.trainerize.com/app/setup) to finish setting up your profile details.

For your profile setup, you will be asked a few questions about your business (for example, are you a Lifestyle Coach, Personal Trainer, etc.) and by default given their one month free trial.

After that, Trainerize will ask you to bookmark your new domain with them:

A Note About Their Web App

There’s actually a lot of functionality that you can get from their web app if you have the time to explore:

With some features (like adding session package payment plans, etc.) you’ll need to revisit their web app to do this as you won’t be able to do everything through their mobile app.

The rest of this article (adding clients & booking appointments) is going to be based on using their web app, so download that before you move on to the next section.

A Note About Their Pricing Plans

If you’re unsure about the app but want to test it out, you can get started using their 1 month free trial. At the moment they are offering a promotion where, if you start a free trial, you can get 40% off select plans with them.

Trainerize has a free tier, but it only allows you to add one client.

Their next tier up ($10/mo — Grow) limits you to two clients.

Both the free & grow tiers are enough to test basic features of the app, but if you really want to use it for your business, ultimately you will need to be paying for a higher tier plan.

Their Pro tier starts at $22/month (up to 5 clients) and increases depending on the number of clients you have. Up to 15 clients, it’s $45/month; up to 30 clients, it’s $70/month; and so on, until this tier tops out at 200 clients at $225/month.

If you’re managing a huge client base, their Studio tier is $250/month (for up to 500 clients) and $350/month (for up to 5000 clients).

Step 2. Add Clients in the App

After you download and log in to their app, select the clients section (the second tab on the bottom of your screen) and hit the plus sign to add a new client or import a contact:

After you input your client information (name, email, phone number, etc.), your new client will get an email from your business with a link to set up their Trainerize account. Technically, the email is coming from Trainerize, but the email is sent with the name of your business (that you gave to Trainerize) in the ‘From’ field of the email. So basically, if they’re looking for an email from “TRAINERIZE” they won’t find it because it will be under the name of your business.

Following the link will take your new clients to the Trainerize web app to create a password and agree to their terms & conditions / privacy policy:

Filling out profile details is the next step, where Trainerize asks for basic information (first/last name, time-zone, gender, preferred units, birthdate, height, current weight, etc.) and current activity levels (sedentary vs active, main fitness goals, general availability, etc.).

After your new client has finished setting up their profile, they will be prompted to download the Trainerize mobile app.

You will also get a notification in the app when your new client has completed their application setup, and the app will notify you on the contacts page (second icon at the bottom of your screen) of the last time your clients have signed into the app:

Step 3. Schedule Client Sessions in the App

After you’ve added a new client, you can schedule sessions with them. You don’t need to wait for them to set up their account in order to do this.

Go to the calendar page in the app (the third tab on the bottom of your screen) and hit the plus sign to schedule a new appointment (1-on-1 or group class) with a client:

In addition to picking appointment times, you can also select conditions for repeating appointments. You can also create an appointment to include multiple clients, and there’s space for you to include custom notes as well (like leg day / arm day, you name it).

After creating a new appointment, the app will take you back to your calendar page tab (third tab at the bottom of your screen) and your new appointments will be displayed:

More Features with Paid Tiers

Trainerize has many more features that are only available with paid plans. Payment processing is one of those big ones. Even with their free trial they still require you to use their Pro tier (starting at $22/month) for this though.
