A Webmail is a web-based email account. Webmails allow an existing mail user to access their emails from a web browser. The user only needs an Internet connection along with a web browser like chrome, Mozilla, internet explorer, etc. These are usually free email accounts that are operated from a website. The mail can only be accessed online when the browser is opened. They cannot be downloaded to the computer. Hence the user cannot read an old email or compose a new mail when he/she is offline. Gmail, Yahoo mail, etc are examples of Webmail.

There are various programs that we can access for a webmail. They help us open the browser, open the web page where emails can be read, and finally read your mail. These programs are called webmail clients. Horde, IMP, SquirrelMail are examples of webmail client. The process of accessing your mail is quite simple. All you need to do is open the web page by typing the correct URL, type your login credentials, ie, username, and password, and click on login to access your mail.

Webmail makes our lives easier. In case we are not carrying our laptops and need to check our mail urgently, all you need to do is get hold of any system with an internet connection. You can check your email from anywhere around the globe. Webmail provides you with storage space for all your e-mail messages. Thus you need not access your mailbox from your usual location. These e-mails stay on the provider’s server. Regardless of the system or the Internet Service Provider (ISP), you can safely check and compose emails. You just need to make sure to logout of the system before you leave in order to prevent your important data from going to a third party. Many ISP’s provide webmail service to their customers along with IMAP/POP e-mail services.

A very major advantage of Webmail is that you need not install any software or change any settings to access mail. In case your computer goes down, your e-mails still remain intact on the internet. Hence it is secure as well as a life saver.

There are a few cases where webmail is not suitable. For example, certain people intensively use their emails. They store many gigabytes of emails, making their access very slow. This drains the servers. Webmail should be avoided in such cases. Another case would be where you want advanced searching or filtering of mail for messages. Webmails do not provide such advanced facilities. There are desktop email programs available for such users (like Thunderbird), that uses POP to download all your emails to your computer.

One may configure IMAP as well to download all messages to your computer. You can also check the emails online in this case, but make sure to remove large sized emails so that the webmail does not get overwhelmed. Download the important data and clean your mail box to have access to both offline as well as a webmail.
