How To: Create Profiles in IDRONECT

Creating profiles is an essential part of setting up your IDRONECT account. Based on these profiles we can make IDRONECT do the work for you.

There are several profiles to be created.

1. Administrator profile: this profile is created by the first person who registers for IDRONECT.

2. Operator profile: it is possible that your drone activity is done from within a company or legal entity, complete with VAT number, logo and other data.

3. Pilot profile: all pilots within your organisation will need to have a pilot profile

4. Drone profile: list all drones you fly and give the required details for each drone

5. Accessory profiles: add accessories such as batteries, cameras, trackers, gimbals, props and others so they can be followed throughout their use.

6. Customer profiles: Add your customers in a CRM like fashion so you can later make quotes and send invoices to these customers.

7. Authorisations: for permission based operations, country-specific authorisations can be made in this section.

We will now discuss each section in detail.

Administrator Profile

So , logically you have registered for IDRONECT, which is explained here.

The following screen opens and you fill out the required fields.

There are 3 sections in this page. The basic profile details on the left side, which includes a picture and signature. You can always take a prettier picture by removing (click on the remove cross) and upload a new one.

The middle section lets you choose some settings such as your language (pick between English, French, Dutch and German), your timezone and whether you like to log or time flights.

The difference between logging and timing flights is that logging is done after the flight (you enter start and stop times manually) while timing a flight is done automatically with a built-in start and stop button. Of course you can change this at any time.

Since you are the first person to create a profile for the drone operation we are assuming you are also a drone pilot. So on the right side you will need to choose which type of pilot you are. This setting is based on a Belgian drone legislation classification (recreational, class 2 and class 1).

Select which class of pilot you are. IDRONECT will then prompt you for the required documents related to that class and will verify if you have the required age.

If you are getting your class 1 license and would like to log your indoor training flights, simply start as a recreational pilot and upgrade once you have received your license.

Adding a medical license and proof of competence (if applicable) can be uploaded by clicking on the Plus-sign. Removing is then done by clicking on the Minus-sign.

If you have a pilot license, add it to the last field on the right.

You can always come back to this profile page by going in the top right corner of your IDRONECT page and select ‘User Profile’.

Operator Profile

Next profile to create is the one connected to your operator profile.

Click ‘Operator’ in the profile section.

Here you can add a company logo, add your VAT number (if applicable) , bank account (optional) but more importantly you can upload an Operations Manual and company (liability) insurance policy. These documents will be used by IDRONECT when assembling an authorisation request to the relevant authorities. It is also quite handy to have the Operations Manual available in a digital format.

Pilot Profile

Next thing to do is to add pilots to the operator account.

Click ‘Pilots’ in the Profile section.

Since you have created the account as first pilot of your organisation, you will see your pilot profile in the pilot list, together with your role and accumulated flight time. Click view next to your name to see the details of your profile as well as your pilot logbook.

or edit to change some elements (like a better picture …)

In order to add pilots to your team you may invite them through the small box below the pilot list.

Add another pilot to the Pilot Team

The pilot who will be invited will receive an email to invite him/her to complete a pilot profile (just as you did yourself). He or she is then added to the pilot list within your organisation. One pilot may be flying for several operators (see later: multiple operator) while keeping one logbook.

Drone Profile (RPAS — Remotely Piloted Aircraft System)

When clicking on the RPAS button in the profile section we can add our drones. In the beginning this list will be empty, so we have to click on ‘Add RPAS’ below the list.

Each drone is listed and you can open up the logbook for that particular drone by clicking on ‘View’.

For each drone you wish to add the following page can be filled out:

Give your drone a name (e.g. inspection drone, 4K video drone or even ‘Memphis Belle’, you choose), specify model and brand and then go into detail a bit more. Type of drone (fixed wing, rotor wing, hexacopter, quadricopter, special etc…) and weight will play a role into the risk classification algorithm).

On the right side you may add the user manual of the drone, make a selfie with your drone and add it, and if your drone is registered add the certificates here.

Next up are the accessories.

Accessory Profile

List all the accessories that you use on your drones in this section.

Batterries, Trackers, Camera’s, gimbals and other can all be added by clicking ‘Add Accessory’ below the list.

What makes it interesting is that then you can configure your drone for a certain flight, for instance your 4K video drone uses BAT 1 and BAT 2 as well as tracker 1. So when the flight happens, all flight minutes are recorded for all linked accessories, so you keep an eye on the health of your equipment.

Customers

The last section in the Profile menu are the customers.

If you want to use the Customer module in IDRONECT for creating and sending quotes and sending invoices to customers, we recommend to fill out the basic profiles for each customer in this section.

You can then select the customer for which you are performing a flight in the Mission ControlPage.
