3 Tips On Preparing Your Team For Necessary Changes

Don’t just throw what’s new in their faces — engage in little preparation instead

There is a structure in even the most chaotic of project management styles. We prefer order when we are about to engage with an assignment of any sort. We like it when we know what the future has for us in terms of planning our work days. If you have ever wondered why the answer is pretty simple — we like it when we feel comfortable and secure and order gives us just that.

As a CEO and a project manager, I often witness my employees’ approach to executing work projects — the majority of them prefer being aware of the project’s specifications, requirements, and what to be expected from them as end results. I’m sure many employees out there simply hate the feeling of vagueness and not knowing any further and specific details about their current tasks and duties.

If all this is true (reality shows it is), then why would anyone want to force change without preparing their teams in advance?

When an employee heads to their office, they usually are well aware of what their tasks and duties for the day will be. This allows anyone to cautiously prepare themselves about what to expect. Additionally, knowing all these things helps anyone come up with a plan in advance.

But sometimes change must be present for the greater good.

Companies are constantly looking for newer and more effective work approaches so that anyone can benefit to the fullest and offer their best working experiences and expertise. More often than not, this never-ending search for better planning, better tools, better approaches, and a better work-related attitude requires certain changes in the day-to-day office lives.

Change has always been a huge part of the development and going further. After all, if we haven’t constantly looked for more and more ways to increase our expertise and methods for executing tasks, it’s doubtful whether we would have ended up where we are today.

So, instead of fearing change, we all should embrace it and expect even more success in the future. We should also remember, though, that any change needs its proper presentation, especially if it’s going to alter the way we or our teammates distribute their own workload.

How to prepare your team for necessary changes in 3 simple steps

The list of work-related changes can be quite long — sometimes we need to change many aspects of the typical day-to-day at the office. Be it relocating, adding new additions to the team, changing the project management styles, etc — virtually any given work-related sphere can be prone to change at some point.

We need it in order to keep moving forward but there is also another very important aspect of dealing with changes — adequately preparing our team for them.

Otherwise, you risk it stressing your people out by just throwing change straight into their faces. You cannot simply expect them to embrace change without even getting familiar with its essence in the first place.

So in today’s article, I’d like to offer 3 very simple yet powerful steps for when you need to present your team with necessary changes.

  • Make sure you’re clear as to why the old method isn’t working anymore — no one likes being forced to change whatever without an explanation. That’s why I believe first we need to start there — explain to your team why the old methods don’t appear to be working anymore. Go into detail. Add examples and case studies. Be thorough in your explanations. This information will likely persuade them quickly why you all, as a team, need to step ahead and embrace new approaches when it comes to working effectively.
  • Go into detail about why you believe the changes you’re implementing will benefit both the team and the company in general — avoid being all bossy stating that everybody should change this or that. Instead, try to explain in detail why you think certain changes will affect everybody in a positive way. Again, add examples and case studies. You can even invite a business consultant to the meeting — sometimes hearing an objective point of view can help people better see a change for what it has to offer.
  • Give your team time to get used to the changes — don’t expect them to start working in an entirely new way the moment the meeting ends. Set a deadline for them to prepare and get used to the new approaches. Tell them they have the opportunity to try the new methods for themselves and check whether or not they witness development and positive outcome. Another important thing is to be always open to feedback — let your team know that they can share their thoughts and opinions anytime. Being part of the whole process is actually the best way you can strengthen the bond and uplift the working atmosphere.

I don’t think anyone out there should try to avoid change altogether. Even though it can be tough dealing with change, most of the time it’s worth the effort. We all want to further develop our abilities and grow into better versions of ourselves, both in our personal and professional lives. So, along with embracing change, try also to adequately present it to your team so that everyone can benefit from it.
