Digitalization for Modern Business Processes
I would like to share the details about a project I performed a few years and how it passed from a traditional business process to a efficient solution for the company. We will see how to go from paper-based business process to digital workflow.
The company “A” working in the wealth management market has a well-defined business process to capture prospects, attend customers and show the money portfolio, however, every step is based on paper forms that the employees need to fill. For example, when a new prospect arrives to the reception, the receptionist will write down(paper) the prospect’s information and take him to the meeting room where an employee will show him many documents(paper) with the stocks available to invest, if the prospect agrees the terms, a pre-made portfolio(paper) is created for him.
As you can see, the information and the process are clear but they are not good enough for sharing information within the company and make it efficient-wise. Basically, in this market where the rich people expect high quality on the companies they are going to invest, we should take care of every detail.
After an analysis and interviews with all the involved employees, the company decided to keep the process but introduce technology to improve it. So, when a new prospect arrives, the receptionist already has his information and scheduled a meeting room, where an analyst will be ready with many digital portfolios oriented for the prospect’s profile and ready to attend any question, if the prospect wants to make changes to his portfolio and tune it before the approval, he can make it in a couple of seconds, when the prospect agrees all the documents are sent to his email. At the end, the prospect will have access to his digital investment anywhere without the need to attend physically to the office.
You might ask, Why not an online meeting instead of a meeting in the office?, That probably would make the process 100% digital, but such approach is not always the best, in this case the prospects are high-profile people and the first impression they get from the company when a professional analyst attend them or the treatment during theirs stay in our VIP meeting rooms, this personal approach has proof to be good for our process.
This new digital process was introduced in different areas in the company like wealth investment, real state, etc. The efficiency improved greatly a long the company and the customers are happier than ever, because, when they need us, we are happy for help them with the best hospitality as always.
