Using PowerBI Desktop Application which is free of cost, Author or Developers can fetch data from various data sources such as files, Azure sources, online services, DirectQuery or gateway sources and can create Reports to uncover actionable, hidden insights for making Business Decision.

Next Step is to publish those Reports created in Power BI desktop. This can be done by either Power BI Service or Power BI Report Server.

Power BI Service (Pro/Enterprise License) is a cloud-based public platform whereas Power BI Report Server is an on-premises platform protected by firewall security. You can create dashboards on these platforms by pinning visualizations from your published reports. Lastly, you can share your dashboards and reports and collaborate with your team members in your organization or with your Clients.

In this short blog post, we will be explaining, how to create a Report in PowerBI Desktop & Publish and Share the Dashboard in PowerBI Service.

Workflow of Power BI Desktop:

  1. Establish Data Connection: The first task you need to do is to click on Get Data option to select a data source of your choice. Here We are uploading Sales & Order Data which are saved in four excel files.

2. Power Query Editor: It is the engine for importing data and transforming (cleaning) data. Data is imported through a simple interface and transformed using the ‘Power Query’ editor before loading into the report area.

3. Power Pivot: It is used for creating data models, the relationships between tables, and performing calculations like creating new columns, new measures and new functions DAX (Data Analysis Expressions).

4. Power View: It is used for creating Reports by using different data Visualizations.

Workflow of Power BI Service:

  1. Publish to Power BI service: As soon as we publish our Report, PowerBI creates one file. This file stores PowerBI dataset & Report in compact size and published to the PowerBI Service, which can be used later to create new reports and dashboards.

2. Update existing report and Create dashboard: You can modify your existing report and create a dashboard by consolidating multiple reports.

3. Share report/dashboard: You can modify your existing report and create a dashboard by consolidating multiple reports.

Summary: Power BI Service does not support data editing or modeling so if you are using a clean dataset and need to create reports and dashboards to share reports with your team or client, Power BI Service is the perfect tool. But if your data is messy & need cleaning transformation Power BI Desktop is the perfect tool to create report but for sharing you will need PowerBI Service.
