Attaching Files to Your Accounting Records

We have improved the way files (or attachments) are handled in Kashoo Cloud Accounting. Previously you could only upload image files (JPG, PNG, GIF). Now you can easily upload any type of file including multipage PDF, Excel or Word documents. You can attach files to expenses, journal entries, invoices, payments, or transfers.

Let’s take a look at how this can simplify your recordkeeping and help you be ready for an audit, loan application, or sale of your business.

  • Attach receipts to expenses so you’ve got backup if you’re audited. (Canada Revenue Agency accepts scanned documents)
  • Attach contracts or agreements to customer invoices
  • Store cheque images with payments
  • Store GST / HST filing documents when you remit a payment
  • Store bills with accounts payable (bills to pay) entries
  • Store incorporation papers with opening journal entries for your business

This means ALL of your important business documents are backed up, secure, and always available from the cloud. In addition to the file type and size of file we also made other important changes how files are handled:

  • You can easily download individual files to your computer, Dropbox or iCloud folder
  • PDF, Word or Excel files can be multiple pages and you are not limited by file size
  • The original filename is stored with the file and is kept when you download it.

For iOS users

Previously when you wanted to attach a picture of a receipt, you would touch the camera icon and it would open the camera. The camera icon has been replaced with the paper clip and now when touch on it you have the option to select a file from Dropbox, iCloud, your photo library or take a picture. For many of us that us that scan all of our files into a folder this a faster way to attach source documents.

Recording Bills or Expenses from Mail.App on your iPhone or iPad

If your business is like ours, most of the bills we receive come from emails or. Did you know you could just click on the Action buttonand choose “Add to Kashoo”. This will automatically create an expense and add the bill directly to that transaction! All without leaving your inbox.
