We spent the fall of 2020 working with the street department of Malmö Stad, helping them asses their process for guarantee time after a construction of a street or a park is made. During that period one of the problems we came a across was the weekly lookup of playgrounds that is necessary to do to prevent possible accidents. And maybe more so the reporting of that the look-up has been done. This look-up is important for us from a legal perspective since we need a paper-trail to show that we done what we could if there ever should such an accident.

When doing the work we found that the larger volume of playground sat within a different department within the city, the one that deal with the long-term maintenance of the city. To give you number we had a about 10 playgrounds in guarantee time but more than 400 in the long-term maintenance.

So how is the reporting of the look-ups done today. Well basically we have papers with 10–13 playgrounds on each paper, after every look-up you sign and add the the date. If something needs to be ordered or fixed you write it in to as a fix to be done. The system is fully paper based and all records are stored in maps, to be used if something would happen. However error occur quite common, papers are forgotten or lost in cars. It makes it hard to have an overview of which playgrounds have been checked etc.

We sketched out a super simple solution with a url designated QR for each playground linked to a form and a database of playgrounds. The person doing the look-up now only needs to point their phones camera to the QR code sticker at each playground and click submit and it will create a timestamp of that the look-up been done. To make it even better we added an field in the form for images and notes which if used will be automatically send and email to the people fixing if anything is broken.
