As we continue our Use Case series we’re touching base with one of our earliest adopters. Ilógica has been with us for nearly a year, witnessing some of our big updates over the last 11 months and providing feedback on what works and what doesn’t for them. Over that time the team expanded the use of Luffa throughout most of their organization.
Having a hunch that Luffa would resonate with creative-types, those who build and create on a regular basis, we started to reach out to designer communities. Luffa’s simple interface was designed in mind to make it easy to include all sort of artifacts that would be important to designers, from PDFs, to presentations, to any kind of image file. Which is how Luffa ended up in the hands of Ilógica. Continue reading to see how Luffa has changed the way Ilógica works as a team.
Who is Ilógica?
Ilógica is a design and technology firm that builds websites, applications, and a variety of digital systems for people looking to build something new and innovative. They specialize in web and mobile application, UX consulting as well as training. As a group of passionate creatives, they take on many new challenges and work with cutting-edge technology on a regular basis. With such a wide spread of skills, the team is made up of a large variety of UI/UX professional, developers, and team leaders. A large portion of the team is situated in Chile with a few remote workers elsewhere across the globe.
What is their Use Case?
Ilógica has a large collection of clients that they talk to on a regular basis. They build websites, apps, and design digital systems with their client’s precise specifications and demands. This means managing important requests and specific information from client meetings. As well as making sure that everyone is on the same page and that everyone who needs the info has access to it, even if they weren’t in the meeting.
On top of the all important external client meetings, the team also has a lot of internal meetings. Since a fair number of the team are remote workers it’s sometimes difficult to schedule around timezones and guarantee that everyone is able to participate in equal ways.
The most common use of these meetings is to gathering the right people together for big decision-making choices and information gathering. It’s extremely valuable to not miss any of these moments during the conversation but the team found that re-listening to a whole recording could be super time-consuming. It also wasn’t practical to try to transcribe each key moment by hand just so they could share all the pieces with the rest of the the team members who couldn’t be present.
How does Luffa Help them Address it?
Now with the ability to capture their meetings with Luffa, both internally with the team and externally with clients, Ilógica is finding that they are saving time and able to focus more on conversations instead of having to take notes during these sessions. The team has created Spaces for each of their projects to keep things organized and made it possible for the entire team to participate in the conversation around a project.
“Everyone on the team has access to the spaces, which encourages collaboration between the teams.” — Claudia San Martín
During long meetings, they flag Moments and attached related documents as well as any photos, diagrams or wireframes that are created during the meeting itself. After a meeting is captured the team makes a record of all the flagged Moments instead of reviewing the whole recording. Luffa has become a central piece in the Ilógica workflow due to how it has encouraged collaboration amongst the team and fit into their Agile workflow.
Results with Luffa and Ilógica
Ilógica started using Luffa almost exactly a year ago now, and while the team feels like it had a bit of a slow adoption within the company, it is now one of the most commonly used tools with the team and with their client base. Luffa complements the tools that the team is already using, helping it find a place in their workflow. They now feel more prepared to keep track of the most important moments of a meeting without having to re-listen to hours of conversations.
For team leader Claudia San Martín, she feels like Luffa has made it possible for her to be completely focused during a meeting, instead of being torn between participating and taking notes. On top of the time she feels that Luffa helps her save, the ability to capture conversations and organize them into appropriate Space is invaluable to her.
“The saving of time and resources in that sense is enormous because you don’t waste time listening to the meeting to transcribe and share with the whole team….Everyone on the team has access to the Spaces, which encourages collaboration between the teams.” — Claudia San Martín
Ilógica has noticed an increase in both collaboration and teamwork since the adoption of Luffa. Being able to keep everything from documentation to conversations in one place has helped them centralize their knowledge and optimize their resources. Through Luffa’s easy to use interface they can quickly find the info they’re looking for, helping them save time while encouraging knowledge discovery and re-use.
