Think ahead. Don’t let day-to-day operations drive out planning.
- Donald Rumsfeld

To be productive and work effectively we need first to plan our time, state what’s important and what can be done later, and make sure everything gets done on time. Easier said than done, right?

A good way to plan our schedule is to give to our tasks a size, blocking time to each one of them, to anticipate how much time we will spend on them and what is the order of our to-do list.

Here is how you can start blocking time with Outplanr:

Plan your day: The first thing to do is to plan your week, which tasks you will do first, your meetings and events, and so on. After this planning, you’ll get all your tasks and events in your calendar. If you see you have a day that is too busy, you can reschedule your tasks.

Prioritize: There are some tasks that are more important than others. You can organize your tasks by the order you want them to be done in each project view, and add its priority status.

Book time for events: Meetings and other events also need to be taken into account when planning your time. Adding attendees to events will allocate time to them and help balance the workload for the day.

Plan for distractions: Answering emails, making phone calls, sending messages and checking social media can be huge distractions that break your focus. Better to plan time for these tasks as well, to do just one thing at a time.

Don’t forget to relax: After planning your tasks and events, you’ll be able to structure your work day. However, don’t forget to take regular pauses between tasks to relax, clear up your mind and you’ll be back more focused and with more energy to carry on.
