Not all podcast guests are podcast savvy.

And even those that can still be a headache to invite, prepare and record without major technical hiccups. Whether its finding a time that works, following up on invitations, or make sure that the audio doesn’t sound like a hot mess, there’s a lot required to get things right.

So we prepare a notion kit to help you, invite, followup and prep your guests to ensure you have a great podcast without any technical hitches (internet connection and apocalypse dependent).

Dashboard overview

The main dashboard show you an overview of all your guests as well as their status.

By default, you’ll see the board view to help you add a new contact, manage your invitations and follow ups and update when someone accepts your invitation. There are, however, a couple of other views to help you with other tasks.

The calendar view

By switching to the calendar view you can see when your podcast recordings are scheduled for. That way you can stay on top of your meetings and spot any possible gaps in your podcast publishing schedule as well as dangerously short turnaround times for editing.

The table view

The table view provides a quick overview of every guest. It’s useful for jumping between past and future guests as well as adding extra guest ideas quickly.

Where to find podcast guests?

There is a dedicated page with a list of website and communities where you can find potential guests for your podcast. This is a great help to find guests who want to be on podcasts rather than sending speculative emails.

Invite and followup email templates

We’ve included a string of email templates for different types of guest outreaches and follow up messages including

  • Cold emails — for when you have no connection.
  • Warm emails — where you have a weak connection
  • Hot emails — for people you are sure will say yes, you just need the right time.
  • 1 week follow ups — to promote for a response.
  • 1 month follow up — in case your emails got missed

The recording guide

Once your guest has accepted your invitation, you need to make sure they turn up to the right place and are ready to record.
That’s why we prepared a recording guide template that you can send to your guests to prepare them properly.

All you need to do is adjust the parameters with your specific details.

The template features

  1. Recording location — tell them the service you will use with a url or details to connect.
  2. Suggested equipment — guidelines to make sure a recording sounds good.
  3. Local recording guidelines — you can remove this section if you use a service like riverside which uploads a local version of the recording.

Good questions mean good podcasts, but many people just go with their gut on the day. We’ve included some tips and prompts and resources to help you ask better questions.
