This article will answer common questions that an HR can have about Chatbot, will guide you towards creating one for yourself and will dig deeper into why automation (chatbot being an important variant of the same) is one of the most relevant HR tech initiatives of 2019.

It is just me or even you are listing “Automation” quite a few time during office meetings? From Sales to HR, everything is depended on technology like never before. And the most popular side of technology that one can encounter in almost all the workspaces today is “automation”. From ideation to delivery, this article is all about helping you take control of HR Automation entirely in your hand.

What is Policy bot and why nothing else matters more than this in 2019?

Policy breaches are neither new nor uncommon. While they can happen due to multiple factors, it is a responsibility of HR to make sure that the policy document of an organisation is always accessible and easily understandable to each employee.

A Policy bot is a modern-day AI based technique that is “mostly” used for making sure that the Organisation’s Policy is accessible to each employee 24X7. Plus, these bots can be customised to give only that information which is relevant to a specific employee.

Organisations are becoming more employee-centric, much more than they have ever been. A chatbot is a great way to ensure:

1. An HR is not wasting a lot of time dealing with the process that is merely collateral to their roles.

2. Research shows that people fear the perceptions that might be formed when they raise their question in front of their superiors. Chatbot empowers such employees with their privacy and comfort of asking whatever they want in their own personal spaces.

3. People communicate with the organisation even on social media as all these bots can be integrated to all the popular social media accounts in 1 click.

How hard it is to create such a bot?

It’s way easier than you think. All you have to do is visit Chatfuel and create an account. Once signed up, with no coding skills required, you can create a bot of your own in less than 3 hours. Here is a 12 min video that will help you develop your chatbot on Chatfuel in a way as if was a cakewalk.

What more can a chatbot do than just educating a policy?

Simply put, Chatbot is good at doing work which is structured and automated and can often be complex. For example:

  1. Reiterating the same policies to every employee can be outsourced to a chatbot.
  2. Recording employee grievances can be outsourced to a chatbot.
  3. Collecting internal surveys can be outsourced to a chatbot.
  4. Allowing employees to confirm their eligibility for allowances can be outsourced to Chatbot.

Is it possible for you to make the entire bot yourself?

It depends on what is the final output that you want.

Here is what you can do yourself:

  1. Create a bot with the video given above on the lines of answers to basic policy-related questions that your employees have.
  2. Create a bot that answers questions on the basis of grades of employees.
  3. Create a bot that can handle a certain set of predecided questions and take record of questions that cannot be answered.
  4. Create a chatbot which is accessible overall popular social media platforms.

What you might find a little difficult(again, these are easy. But, they can be time-consuming) to do:

  1. Create a bot that can detect the tone of employees and react to their questions accordingly.
  2. Create a bot that can tell the eligibility with the help of just employee IDs.
  3. Create a bot that uses NLP to address a wide range of questions, even if they are hugely unexpected.
  4. Create a bot that can help them avail services of empanelled vendors(like packers & movers, hotels and guesthouses) from the bot itself.
  5. Create a bot that can be directly published on your intranet.
