How to communicate effectively?

Effective communication is one of the key skill for professionals success.

More often than not, many professionals are found lacking this skill.

Why is effective communication so important? How to hone this skill?

Let’s look into this.

Communication: Two-way process

All through the day, we continuously communicate with one another.

It is a two-way process.

We send information (sender) and receive information (receiver).

As a sender of information, we produce and distribute information.

Our visual, verbal and written communication forms part of this.

As a receiver of information, we are bombarded with loads of information.

Verbal, television, newspapers, magazines, radio, websites, social and email feeds are all part of this.

Over communicated Society

We have literally become an over-communicated society.

We send less and receive more.

In spite of excessive communication, our failure to communicate (well) forms the crux of many problems we face.

Also, people who are performing well have good communication skills as their core strength.

Communicating well does not mean being good at English.

It is about passing the message the way it needs to be conveyed.

It is also about getting others to listen, without the message getting lost.

Effective communication: A Key differentiator

The ability to communicate well has become one of the key performance differentiators of these times.

If you are a poor communicator, it’s highly unlikely that you move swiftly on your chosen path. Be it business or career.

In this context, the main challenge for you is how to ensure that you are heard?

For this, I have found the following approach to be highly successful, based on my personal experiences.

Be Closer to reality:

The best way to ensure that the message is heard is to be closer to reality.

Don’t bluff or try to boast.

Always communicate the actual and factual information without bias.

Make Connections:

While passing information, try to retie the connections that already exist.

This allows the message to trigger to a recall of the past information and makes it stick.

Less is more:

Always remember, in communication, less is more. It keeps information simple.

Sharpen your message to be crisp and to the point.

Your message should cut into the mind of your recipient.

Leave No Ambiguity:

Leave no ambiguity in your information.

Our mind is a dripping sponge. If you pour more it drains.

Simplify the message so that it is easily understood and creates lasting information.

Have Others Perspective:

Lastly, when you are communicating, spare a thought for the recipient of your information.

Just Check, what you are communicating is making sense and meeting their requirements.

My experience

When I was with my previous employer, I worked as an executive assistant to our Group Chairmen.

He is a very busy Corporate leader and time is premium.

As part of the business, I used to receive a lot of information from the businesses.

I also used to collate relevant information about the company ( business, economic) from various sources.

Every day we used to have a meeting in the morning.

I need to brief him about all the info received by me, in a very short time.

I used to prepare in such a way that the communication is crisp, detailed just enough and effective.

The effort is that the Chairman gets the complete picture and can decide on further action required.

I used to follow the above-mentioned approach to the Tee.

The results that I have experienced are very good.

I could able to communicate well and very effectively, most of the times.

To communicate effectively, the message should be closer to reality.

It should be simple, less, unambiguous.

The message needs to be receiver-oriented and should also tie existing connections.

This simple principle worked wonders for me.
