Processes and emergency measures to follow when a project goes over the stated deadline

The following illustrates what processes will be followed once a project commits a deadline breach.

What Usually Happens When A Project Goes Over Deadline

For Project LXR, we saw the following routines happen:

  • People start pointing fingers and blaming other teammates.
  • People start blaming the client.
  • People start telling the CEO and the COO about how hard they are working on the project ‘from home’.
  • People start getting anxious and stop planning ahead. When asked about the status of the project, they just reply that they are ‘doing their best’, and that the project will be completed ‘as soon as possible’, usually in the form of ‘we’ll complete it by the end of this week.’ Management believes this totally inaccurate, unrealistic projection, and forwards this to the Client, which the team again fails to deliver. This way Project LXR ended up going over the deadline 4 times.

In order to prevent the Project LXR fiasco from ever happening again, when a project goes over deadline, the respective Tech/ Design/ Videography Lead in charge will automatically declare a ‘State of Project Emergency’.

Deadline breaches are a direct attack on the international reputation of Indian Tech and thus will be met with severe consequences.

Effects
(All of the following will be applied to everyone involved with the project, barring the most extreme circumstances, which will be judged on a case by case basis by the COO.)

  • The respective Tech/ Design/ Videography Leads and the Project Lead will do a complete project status assessment and notify management of the new project deadline within 24 hours of deadline breach. Failure to comply will result in an unavoidable penalty, the severity of which will be decided jointly by the Head of Audits & Prosecution and the COO.
  • The respective Tech/ Design/ Videography Leads and the Project Lead will prepare a report on why the breach happened and submit it to the Head of Documentation within 48 hours of deadline breach. Failure to comply will result in an unavoidable penalty, the severity of which will be decided jointly by the Head of Audits & Prosecution and the COO.
  • Flextime policies will be paused until project completion.
  • Mandatory working hours will commence at 9:00 AM, with ending hours being extended from 6:00 PM to 8:30 PM until project completion.
  • Saturdays will be treated as normal workdays until project completion.
  • All leaves will be automatically canceled until project completion.
  • Every subsequent deadline breach after the initial incident will result in at least 1 termination. (e.g. a 2nd breach of deadline will result in termination for at least 1 member of the team, a 3rd breach of deadline will result in termination for at least 2 members of the team, etc.)
