How our own teams use Spendesk on a day-to-day basis and absolutely love it!
Spend management is a puzzle regardless of your position within a company. Mistakes, wasted time, repetitive tasks: efficiently managing your purchases and spending should surely be part of your 2018 resolutions… or rather, objectives!
In startups, operational efficiency is key to survive. At Spendesk, one of the processes that allows us to move quickly (and swiftly) is precisely our spend management solution. Our teams use it on a daily basis (nothing better than getting quick and extremely objective feedback😉). Discover how we became addicted to our own solution!
🗂 #Admin — Save time
For Rod, our CEO, managing his time is his number one challenge! This involves automating the maximum number of tasks (like the recovery of invoices at the end of each month for example). Indeed, he explains: “Spendesk allows my teams to focus on the tasks they enjoy by automating the more tedious ones”.
Each employee makes their purchases with the Spendesk cards, the invoices are automatically collected on the platform and our robot, Marvin, extracts the VAT rates. Our accountant, who has (free) access to consult our Spendesk account, downloads all the data in the format of his choice without needing to input the invoices… The result? More than 2 hours saved per person and per month!
🤖 #Tech — Manage our subscriptions
Constantly testing and shipping new features requires the use of many SaaS softwares: AWS, Heroku, Segment, GitHub, Mailjet…! Their management quickly becomes a long and tedious task. “Spendesk enables us to have an overview of our different tools and of the pricing evolution according to their use. Similarly, there is no risk of service interruption as we are immediately notified if the subscription cards’ funds are running low” explains Guilhem, co-founder and CTO.
✈️ #Sales — Travel without any bad surprises
Whether travelling in France or abroad, the organization of business trips is often a tedious process. With Spendesk, in only a few clicks, each member of the sales team can easily book their plane ticket or hotel. Once there, they use their prepaid physical cards to pay for their purchases, it can also be used to withdraw money from ATMs. They can then take a photo of their receipt and upload it directly via the Spendesk mobile application (no more paper receipts to keep!). It’s as simple as that 😎
💳 #Marketing — Manage our budgets and stick to them
Without Spendesk, Yasmine, our CMO, would spend her days chasing after the company’s corporate card. “I’m using a virtual card for our Adwords UK account, another for Adwords FR and one for Linkedin Ads. Each card is capped according to the monthly budget that is allocated to each channel and each market.”
“I also frequently use a Spendesk physical card to make last-minute purchases and to be prepared for all possible contingencies during conferences or film sets.” With Spendesk’s analytical codes, she can easily reconcile expenses and optimize budget tracking.

Whether to answer questions from our users (via Intercom), to measure their satisfaction (via Wootric) or to send them gifts, there are many reasons to use Spendesk for our Customer Success team. As Maylis points out “at Spendesk, we do not limit customer relations to email and phone exchanges, we meet them, learn their business and build a good relationship over time. This involves having the right tools and being able to frequently make small purchases for which paper expense claims would be a hassle”.
In case you hadn’t noticed, at Spendesk we care about our customers! For example we send a bottle of champagne to our users who recommend us to a friend 🍾
🤗 #Happiness at Work — Enjoy
“Team building”, “happiness at work”.. many buzzwords that show that taking care of your team has become a number one priority. However organising an escape game or a team outing isn’t always easy to do when working in a small structure without an office manager or “Chief happiness officer”. At Spendesk, we have a defined budget of 50€ per month per person for this type of activity. Thus each member can, with their Spendesk card, buy snacks, pastries for our daily breakfasts, beers for our afterworks on Thursday nights or book the next team trip.
