“I am fed up of my team members changing the file names after editing — now I have to call her up again to ask which one was the updated file

Quite often we end up complaining our team collaboration woes, to others like this. But what evokes these negative emotions for our co-workers so subconsciously, that we never realize when we end up hating our work as well as humankind in general..??

When raw files of updated versions, keep piling up in our hard disk space… until we run out of space.

It’s the Bad User Experience of Collaboration and organization in cloud storage and file sharing, editing Platforms Like — Google drive, Dropbox, Microsoft One-drive, One-hub, eFileCabinet, MASV, Box, Wire etc.

Due to its High User Database built out of brand trust — Google Drive, Drop Box and One Drive were the more common options people responded to have used. The second reason being its storage capacities and collaboration options.

To better understand the underlying user pain points and contextual behavior of different users- Usability testing and interviews were conducted over a sample set of 12- consisting of users from different job profiles (for better understanding of UX impact on users), and two kinds of users- free and paid versions.

User testing and Interview Methods gave insights into to user front pain points and their expectations.

The insights gained from the research sample set were captured and analyzed. They can be classified as — short term insights and long-term insights.

Categorizing the user experiences and profiles, we created a user persona — of Radhika Sen; content writer of a fashion Magazine, from urban Mumbai. She uses Google Drive to collaborate with her team of designers, editor and manager.

To get a deeper understanding of the cloud storage system — after creating the user journey mapping; we go deeper into the system. We use the Iceberg Model systems approach (Events, patterns, System structure, Mental Model) to dig underlying web flow patterns.

USER PERSONA- After analysis of the various user profiles.
USER JOURNEY EVENT 1 : FILE SHARING
EVENT 2 : CROSS PLATFORM EDITING
EVENT 3: INFORMATION ORGANIZATION ; part-1
EVENT 3: INFORMATION ORGANIZATION ; part-2
EVENT 4: SHARED FILE MANAGEMENT ; part-1
EVENT 4 : SHARED FILE MANAGEMENT ; part-2

After the analysis of the system at a macro level approach, the approach of the design research— can be taken at a broader spectrum of :

The organisation of information in the system and the impact of the same on the user interactions with the interface.

The opportunities of taking the research further can be into-

the various data organisation in complex systems which can be scalable and easy to use.

The inter relation between various web of information nodes and figuring the various possible parameters and their impact on the web chain.

To know more of the process — go to the Systems Approach blog highlighting the user research journey.

This Design research is conducted as a part of the Design Project — “Systems approach to design” module during the Master of Design course in Interaction Design at National Institute of Design, Bengaluru, India, and was guided by Dr. Mamata Rao and Mrs. Jagriti Galphade.
