How to set up a Zapier Workflow to Manage Social Media

A Simpler Way to Mange Social Media

Promoting content and trying to grow an audience can be tedious and time consuming. I was trying to code a solution to distribute my content when my boss recommended I try Zapier, a no-code solution. Zapier is a free to use web-based automation tool!

Instead of posting across social media one site at a time, I used Zapier to set up an automated pipeline so I only need to post content once. For example, I post to Facebook, and that post is sent to LinkedIn, Twitter, and Reddit automatically.

It is super simple!

I am in no way affiliated with Zapier. Just a dude that loves the tool.

Getting Started with Zapier

I’ll walk through the first steps for creating the Zap below. This tutorial assumes you already have social media accounts. To create Zaps, sign up for an account at www.zapier.com. Premium tiers with access to more apps and additional functionality also exist if you want more bang for your buck.

This is my Zap for promoting my Medium articles across Facebook, LinkedIn, Twitter and Reddit:

How to Create a Zap

In Zapier, the workflows are called Zaps. Zaps connect your apps to automate repetitive tasks, like posting across social media or saving data to google sheets… or a TON of other things! They have a helpful community and a library of prebuilt things to try.

Click the Create Zap button on the Home Dashboard.

The button opens the Zap editor. Here, it is possible to rename the Zap and set up the trigger by selecting an app. The Zap workflow requires a trigger. The trigger is the event that starts the Zap, triggering the actions defined in the workflow to take place.

Select the Facebook Pages app as the trigger.

Notice there are tons of apps that can be used as a trigger. Zapier can do a lot more than share content over social medial!

Creating the Trigger

The trigger for Facebook Pages can be set up in 4 steps:

1. Choose the App and Event for the trigger.
2. Choose the Account.
3. Customize the New Post.
4. Find Data.

1. Choose the App and Event for the trigger

Facebook Pages will populate in the App field automatically.

Select New Post by You as the Trigger Event.

There are a couple different options to choose from depending what type of page engagement should trigger the Zap actions.

2. Choose the Account

Enter the Facebook account associated with the Facebook Page on which the post occurs.

Rest assured your data is safe! As noted by the UI, “Facebook Pages is a secure partner with Zapier. Your credentials are encrypted & can be removed at any time.”

3. Customize the New Post

Enter the Facebook page on which the post occurs.

If you select a different page, clicking the Refresh fields button will refresh the Test data in step 4.

4. Find Data

This step assumes you have a post on the Facebook Page. It will find the latest post to use as test data for the workflow.

Take note of the following fields:

Creating the Action(s)

Now it is time to set up the Actions that occur when the Trigger takes place. I set up LinkedIn, Twitter, and Reddit as actions in my Zap. I’ll walk through setting up the LinkedIn action.

Click the + button to add an Action.

The LinkedIn Action can be set up in four simple steps:

1. Choose App & Event
2. Choose the Account.
3. Customize Update.
4. Send Data.

Select the LinkedIn App since the Facebook post should also go be shared on LinkedIn.

Select Create Share Update as the Action Event.

2. Choose the Account

Select the LinkedIn account that will be sharing the post. Again, the data is safe as LinkedIn is a secure partner with Zapier.

3. Customize the New Post

Map the Facebook fields to the appropriate LinkedIn fields. This is why I said to take note of the fields in the Find Data step in the Trigger setup:

The field mapping will be different depending on the app used in the Action. This is how I mapped the Facebook fields for LinkedIn:

4. Send Data

This step allows you to test the process. It will use the data picked up in step 4 of the Trigger setup.

Click Test & Continue to proceed with the test

OR

Click Done Editing to complete the Action without sending the test data. Once completed, the Action will look like the below image:

Click the + button to add additional Actions. It is possible to stack multiple Actions on one trigger as a premium feature (get a free trial for premium features).

Congratulations! You have set up your first Zap! Time to trigger the events with some content!

The Completed Zap

After setting up the Zap, return to the Zaps Home dashboard and make sure the new Zap is set to On.

Make a new post on the Facebook Page and within a few minutes you will see the post appear on LinkedIn!

Final Thoughts

This tool is a real time saver, and I wish I had found it sooner! Using Zapier, pushing content to social media has never been easier. It is a no-code solution to social media management and so much more. I can’t wait to build more workflows!
