Introducing Tasks in Multiple Projects

How Taskworld’s latest feature will make your life a whole lot easier.

Taskworld’s brand new feature is truly a game changer. You can now create tasks that belong to multiple projects at the same time.

What does it mean?

Everyone has their own way or organizing work. Instead of creating copies of the same task in various projects and then updating them simultaneously, you can simply add multiple project locations to one task.

This means that any update in task would be instantly reflected across all projects containing that task.

How does it work?

Let’s take an example. A young startup wants to create merchandise for its company (T-shirts, brochures, cups etc.). The project lead creates a project on Taskworld to manage all merchandise related tasks in one place.

It’s perfect for the project lead. However others team members included in creating merchandise also have their separate projects (marketing team, design team) and they might prefer to have all their tasks in one place.

That issue is solved effortlessly with tasks in multiple projects.

For example, Nathan sees that he has been assigned the task of creating content for company brochures in the Company Merchandise project.

He simply clicks on the task, goes to Task properties and clicks on the + button next to Location.

He then selects the Project and Tasklist where he would like to see the task, and clicks Add new location.

Now, let’s go to the location selected by Nathan — Project: Marketing Team, Tasklist: Nathan (Content)

Task will appear in the new location (project)

The task is now part of both the projects — Company Merchandise and Marketing Team. This doesn’t mean that Nathan has to update the task twice. He can edit the task in any location and the changes will be reflected everywhere.

Tasks in multiple projects doesn’t make a copy of the task. It is the same task represented in two different locations.

Popular scenarios

All kinds of teams will find this feature useful. Here are a few examples of scenarios where tasks in multiple projects will save the day.

1. Projects involving multiple teams.

Like our previous example, a lot of projects (new website, company trips, product development) require collaboration across multiple teams. All teams can update their tasks in separate projects by using this feature.

2. Projects involving clients/third parties.

Add tasks to a separate project for clients/third parties to show them their progress without revealing your internal workflow.

3. Team members who organize in their personal project.

Some team members like to organize their tasks the way they want. By using tasks in multiple projects, they can do that without disrupting their team’s project.

4. For versatile startup employees

Startups require people to be involved in multiple teams. Using tasks in multiple projects, you can handpick your tasks from different projects and organize them in one place.
