What You Need to Know About Your Administrator Link

Your administrator link is the key that gives you complete control over your calendar; keep it safe and use it wisely.

As a Teamup calendar administrator, you’ll be dealing with the calendar administrator link.

The administrator link is the primary calendar link which gives you all administration privileges over your calendar.

The administrator link is a URL — starting with teamup.com/ followed by ks and a random string of 16 alphanumeric characters, a unique key that “unlocks” your calendar.

When you access your calendar with the administrator key, you have access to the Settings which give you full administrative powers. You can add or delete sub-calendars; create, modify, and delete sharing links; create, modify, and delete events.

Anyone with your administrative key can do all of these actions, and even delete your entire calendar! That’s why it’s so important to keep your administrator link secure.

Keep your administrator link to yourself or a designated colleague in your organization; don’t use it to grant access to the calendar to users who do not need to manage anything in the Settings.

A frequent mistake calendar administrators make is to grant administrator rights to users who need to create and modify calendar events, but do not need to manage the calendar settings.

Think twice before granting administrator permissions or sharing your own administrator link. If someone needs to manage calendar events, give them the “Modify” permission. That is usually sufficient for what they need to do without access to your calendar’s Settings.

Important things to remember:

  • Do not share your administrator link with other users who do not need to manage the various options in Settings.
  • Do not use a group email as the calendar administrator email (such as info@yourcompany.com or marketing@yourcompany.com) if these email addresses have multiple recipients or frequently changing owners.
  • Do not use your administrator link to embed your calendar into a website or Facebook page.
  • Do not create an iCal feed from your administrator link. Instead, let everyone get their iCalendar feed from the calendar link shared with them, i.e. the link with permissions appropriate for that user.
  • Do not set up notifications for non-administrator users from an administrator link. Instead, let the user set it up from their own link. Or, if you set the notifications up in Settings, make sure to select the appropriate link for the recipient of the notifications.

Help! I lost my administrator link!

If you accidentally deleted your administrator link and don’t have a copy of it anywhere, don’t panic.

Since your administrator link was emailed to you, when you set up your calendar, you can use your email address to recover it.

You can start by searching your email. Search for email subject “[Teamup Support] Your new calendar” in your email archive.

If your email search doesn’t turn up the result you need, use our simple link recovery tool.

Enter the email address you used to create the calendar. You’ll receive an email with the administrator link. Note: we will not share calendar links with any email address except the one registered as the calendar administrator. If the original administrator has left the organization, an email from a senior manager from your organization is required to authorize the transition to a new administrator.

You’ll only receive an administrator link if your email address is registered as the administrator of the calendar.

If you work on a shared or public computer, you may want to add an extra layer of security to your administrator link. You can do so by adding password protection.

Password protection is a feature available on any of our paid plans.

To enable password protection, go to Settings > Sharing, then click on the edit button for the administrator link.

You can edit the administrator link to add password protection.

You’ll see an option in the editing window to turn on password protection. Turn it on, enter the password you want to use, and click Save.

Now when you open your calendar with your administrator link, you’ll be prompted for a password:

A password-protected link keeps all calendar data invisible until the password is entered.
