Big April Folio & Invoice Update — The Booking Factory

Our big update is finally here to let you have multiple folios and invoices per booking.

What is a Folio

It is a weird word isn’t it? Folio..

“A guest folio contains all transactions of both cash and credit occurred by each resident guests.”

Think of it like a folder where you keep all the charges the guest has, like room bill, bar bill and payment slips.

What is new?

This is a big update that brings quite a few features which I will break down below

Multiple folios per booking

This is the biggest benefit for all users, now you can have multiple folios and invoices per booking. Not having this was very awkward if a guest needed to separate their business stay from their personal charges. Now its easy!

1. Creating a new folio is easy by pressing “Add Folio” button

Adding new folio is simple!

2. You can remove folios which are empty also

Note: You cannot remove folios with items inside

Move items between different folios

It would be useless to have multiple folios if there wasn’t a smart way to move items between folios! Lucky for you we thought of this

You can easily move:

• Rooms all or per day
• Extras
• Payments/Refunds

Split Items

Some of you would have noticed that in the above image we have the middle function on the move charge process. Here we can split the item between folios.

• Split items
• Split room nights
• By amount or percentages

Lets split a room night and a bottle of wine between 2 persons

Splitting Room and Wine by 50% for 2 customers

That’s all the big stuff out the way and of course theres a whole load of small features that would would also expect:

• Discounts
• Email folios & invoices

Guest Updates

As part of our big update we are also updating the guest management to prepare for online check-in and police and immigration reports.

• Add companions to room with full profile
• Store all guest credit cards
• Can print registration card for main guest or all guests

Its a big update and I hope you are all excited with the new functionality, as always its hard for us to balance power with user friendliness and this update I think you will find the same easy to use interface you have come to expect from us at The Booking Factory.
