Corporate event during the monsoon — YA or NAY — is a question which constantly lingers around this time of the year.

If you do have the choice, then sure the better time to plan your company’s event is inside of the 3rd and 4th quarters of the year.

But there are scenarios where this time of the year can be capitalized upon by companies and a lot more ROI can be considered for certain types of events such as, team off sites and distributor meets for example.

This blog is to just help understand what you can consider to weigh your options when planning an event during this season.

Many hotels and resorts boast discounted prices and fewer crowds during off season, however to what end.

We list down the pros & cons which you , as a client, should consider while planning an event during the monsoons or holiday seasons.

Pros

Costs are usually Lower

The biggest advantage to planning a company meeting during the off-season is undoubtedly the savings, especially in terms of room and banquet charges. There are very few social engagements which take place and one usually has availability with many places inviting bookings to keep themselves occupied.

As a client it is easier to negotiate and agree on a package as compared to costs during season time. At Pegasus Events for example we can extend preferred pricing to our clients at most of the venues in India and some abroad. If we were to do the the same off season it can lead to a tremendous dip in investment incurred for the same ROI received.

Resorts and offsites are usually less crowded

Planning a monsoon getaway for your team and conducting some team building exercises is the ideal way to go during the off season.

Resorts or any offsite locations chosen see lesser crowds, which allows for an intimate and concentrated event. Hence buyouts are possible and the weather fuels emotion, thus helps romanticizing the communique for the event.

At Pegasus Events, when we do plan team outings for example, the one thing we factor in most is how we can encourage people based on the emotion they feel ( That’s a discussion for another post ) and an off season retreat is the perfect setting for the same.

Other complimenting services are also discounted

As the entire industry slows down during the monsoon, almost all complimenting services for events also come heavily discounted, this can also include trainers, entertainment etc.

So from all this, the cost saving as we can see is a major pro when doing an event off season, Let’s consider some of the cons now.

Cons

Weather is a factor

The weather is usually a concern during Off Season, hence cost savings aside you have a very real possibility of your event not creating the requisite impact due to a lack of audience or may be washed away due to torrential rains.

An obvious and real con to planning an event during off season.

Accessibility and Attendance

Even if the weather is stable during the event and not before or after it can be a problem, accessibility and attendance can get affected based on how the weather behaves before the event and event recall can get affected based on how the weather behaves after.

For example, if your audience is travelling in from different parts of the country, how the weather behaves in Delhi can possibly affect your team / clients attendance from many parts of North India, thus lending a deafening blow to your plans.
