6 Preventive Measures For Events During Pandemic

This pandemic has been affecting the event industries significantly. People stopped celebrating, businesses cancelled their events, couples postponed their weddings, etc. But as we all know, this pandemic won’t go away soon and as some countries have lifted some restrictions, it’s time to check the possibilities of hosting events with extra measure.

The pandemic not only changed the way people celebrate but also changed how venues and event planners gear up when hosting events. All business in event industries can start to focus on implementing couples of requirements to create a safe environment for the guests. Not only it’s the right thing to do, but it also lowers the risk for everyone by adding a layer of security. So what are the steps you can take for your next event?

1. Stay in touch with government guidelines

It is advisable always to check the guidelines related to COVID-19. These guidelines change regularly, so be sure to stay updated with all directions from the government to know what is and what is not allowed.

2. Communicate it clearly to the guests

By communicating clearly to the guests, half the work is already done. Make sure that you lists all the rules for the event, so that guests knows ahead what they can expect. Additionally, event planner or venue need to inform the guests about their commitment to make sure that all measurement has been taken to give the guests reassurance for coming to the event.

3. Take health precautions

By taking health precautions, especially during the event, we can minimize the spread of infections, not only for the sake of the guests, but for the employees as well. For example:

  • Provide face masks and hand sanitizers
  • Provide thermal gun or scanner to scan the employees and guests before going into the venue
  • If possible, provide an open-air environment or make sure the room has airflow, so the room gets fresh air and people don’t feel confined
  • Shorten the duration of the event
  • Clean and disinfect frequently touched surfaces regularly like tables, doorknobs, handles, desks, countertops, etc.

4. Implement social distancing

It’s crucial to maintain a safe distance between the guests. This can be done through several steps:

  • Use half of the total capacity of the place. This will make sure that the place won’t be too overcrowded with people.
  • Putting signs requesting customers to keep a 1.5m distance between each other
  • Remind the guests not to shake hands

5. Give extra training for employees

Additional training for employees in health and cleaning protocols are essential. Employees need to be trained the essence of all health and safety protocols, how to adhere the rules, how to remind the guests the importance of 1.5m distance, etc.

6. Register guests for tracing

Take all the guests names and contact number during reservation for contact tracing. By doing this, if something happens or there’s someone infected, it’s easier to trace who has been in contact with the infected guest.

It’s not easy to implement these measures. We can have everything planned, but in the end, the guests need to adhere to the protocol as well. Always remind each other about the importance of these measures, so it creates a safe, responsible event, for the guests, us, and everyone around.
