Explaining Venopi’s Updated Policies

Nov 12, 2018 · 6 min read

Venopi is an online marketplace to help you find great spaces and connect with amazing hosts. We want to facilitate one-of-a-kind unique experiences. In order to do that successfully and make everyone happy, we all have to play by some rules. This is to ensure that all parties involved, Venopi, hosts, and guests are protected.

We recently updated our services agreement and it is important that our users understand the terms and conditions as it governs the use of our platform.

We have created this brief explainer to highlight what you need to know. Of course, we strongly recommend that you read through the full document for legal reasons, but we want to help make it simple and easy to understand.

Here are the important parts: there are four main sections

1) the services agreement

2) the community standards

3) the cancellation policies and

4) the fees overview

First, the services agreement…

The Venopi services agreement is a contract between us, Venopi, and you, the people who want to be registered on Venopi. In order to use the Venopi marketplace to book or list spaces, you must agree to these terms and conditions.

Venopi guests are people who book spaces, the location or site where an event can take place at a designated time for a specific purpose. These spaces are listed by Venopi hosts. On our platform, users can browse and book spaces and services. On our website hosts create a listing by providing details about the availability, pricing, and terms or limitations of the space.

A guest may book a space by accepting the times, fees, and any additional terms of the agreement. A booking grants you temporary lease with limited access of the space as is permitted in the agreement.

The booking agreement has five sections:

1) general terms (creating an account, making payments and communication with Venopi)

2) platform and service (including how we use data)

3) services and hosts (how to list a space and the booking requirements)

4) termination, disputes and binding arbitration (termination of an account or agreement and resolving disputes) and

5) additional legal terms (updating this agreement and liability)

The community standards

For Venopi to cultivate a healthy marketplace where hosts can showcase spaces and guests can plan events, we ask our users to conduct themselves in a cordial and professional manner. That’s why we include guidelines for posting content, communicating with other users, booking spaces, and making or accepting payments.

This is not an exhaustive list but we hope to set some overall guidelines that can help keep users safe and happy. We take violations seriously and may suspend or terminate an account for ongoing serious violations, or moderate, remove or edit any content that violates these community standards if we believe it adversely affects the integrity of Venopi or other users.

Hosts will…

  • Comply with any and all laws
  • Accurately represent their space
  • Only offer spaces that are permitted to be booked

Guests will…

  • Use spaces with respect and as described to hosts
  • Never store, transport, or possess hazardous material in a space

Everyone will…

  • Use the platform as intended
  • Respect other people’s information
  • Communicate with other users honestly
  • Transact honestly

No one may…

  • Discriminate against other users
  • Harm, intimidate, or threaten users
  • Encourage or endorse illegal or dangerous behavior
  • Share personal or dispute information
  • Harm, intimidate, harass, or threaten Venopi or our brand

Cancellation policies

At Venopi, we have designed the platform and services to help hosts and guests efficiently and conveniently complete bookings. Every booking is a host’s commitment to make a space available to a guest who has paid in full upfront upon confirmation.

The Venopi cancellation and refund policy covers all cancellations or refunds for fees paid on the platform.

Venopi allows hosts to choose one of three cancellation policies:

Flexible: full refund within 48 hours

Flexible Cancellation Policy
  • The Venopi service and processing fees are non-refundable
  • Rental fees are refundable within 48 hours of agreed event date and time

Moderate: full refund within 5 days (50% less than 5 days)

Moderate Cancellation Policy
  • The Venopi service and processing fees are non-refundable
  • Rental fees are refundable within 5 days of agreed event date and time
  • If a guest cancels less than 5 days in advance, 50% of the rental fees will be refunded

Strict: full refund within 14 days (50% less than 7 days)

Strict Cancellation Policy
  • The Venopi service and processing fees are non-refundable
  • Rental fees are refundable within 14 days of agreed event date and time
  • If a guest cancels less than 7 days in advance, 50% of the rental fees will be refunded

A host may cancel one confirmed booking within a 6-month period without penalty excluding the costs incurred by Venopi or the guest associated with that cancellation. Additional cancelled bookings will result in a fine of 100EUR or 15% of the booking cost. Cancellations of three or more bookings within a 6-month period may result in delisting or modifying the description of your space to include publicly available information about previous cancellations, or suspension or termination of your account.

We may waive fines for host-initiated cancellations under the following circumstances:

  • Accidental acceptance of a booking cancelled within 2 hours of confirmation;
  • Guests providing false or misleading information in booking request;
  • Guests suggesting their use of a space in a manner inconsistent with the description, the booking agreement, or other limitations agreed upon between the guest and host;
  • Inappropriate or illegal activity taking place during a booking;
  • A host and guest mutually deciding to cancel the booking with a full refund of the booking cost to the guest; or
  • Any excused cancellations, such as, unexpected death, serious illness or injury, urgent travel restrictions, severe property damage or unforeseen maintenance issues, or legal problems that may arise.

Venopi may decide that it is necessary or desirable to cancel a confirmed booking and issue a full or partial refund to a guest depending on the circumstances.

It is also possible to reschedule a booking. For more about our cancellation policies, click here.

Fees overview

All the fees owed for the booking will be presented prior to a guest’s acceptance, subject to the cancellation and refund policy.

A processing fee of 5% is included in all charges to guests. When a booking is completed, a service fee of 15% is retained by Venopi from hosts’ payouts as a compensation to Venopi for providing the services and use of the platform. The 15% is based on the subtotal for payment for booking the space for the agreed upon period.

Thanks for reading

I know, I know, I said it was going to be a brief overview, but these agreements and guidelines are important for ensuring everyone who uses Venopi has a positive experience. We hope that this has been helpful for understanding the services agreement. In case there is something that you don’t understand or something that we can explain better, please do not hesitate to send us an email to hello@venopi.com.
