Monthly Microsoft License Update August 2022

Welcome to the August 2022 instalment of the monthly Microsoft license update from the Version 1 Microsoft License Consulting Team. Each month Microsoft release license changes on their product terms — some of these changes will have a material effect with others having no impact whatsoever.

For your convenience, we have uploaded a recording that discusses these changes in more detail.

As Microsoft license experts, my colleagues Niamh NI Shuilleabhain, Richard Ojo, William Nelson and myself will take time to consider and examine these changes, highlighting any Microsoft licensing trends or issues that are around the corner. In this session, we discuss the main changes from the August product terms update, which include the following:

Microsoft Teams:

Updated Health Sector customer’s clause (for example, Hospitals, Healthcare providers etc.) with language regarding medical records. Health Sector Customers are solely responsible for:

  • Accuracy and adequacy of information and data furnished through the use of Teams.
  • Implementing a secure application-to-application authentication method between any Customer application and/or service and Teams.
  • Obtaining appropriate consent from end users in connection with end users and Customer’s use of Microsoft Teams.
  • Displaying appropriate warnings, disclaimers and acknowledgements to end users in connection with end users and Customer’s use of Teams.

In addition, any information provided by Customer or its patients in Teams (including meeting recordings if enabled by Customer or any Teams apps enabling virtual appointment services) that is necessary for medical records continuity or retention purposes should be downloaded, copied and/or notated directly in such records by Customer. This is specifically stating that Microsoft Teams service is not to be used as a functioning method or means for maintaining legal medical records or designated record sets. It should also be considered that Microsoft is delivering a clear message that the Customer is solely responsible for the governance and controls when using Microsoft Teams.

Microsoft 365:

Updated device screen size limitations from 10.1” to 10.9” for Microsoft 365 F1 and F3. A welcome change to the screen size limitations for M365 F plans, particularly for F3 plans to legitimately use Office Mobile Apps on devices up to 10.9’’ screen size, which aligns with their Inspire conference messaging, where they championed enabling the Frontline/Firstline workforce.

Office Mobile Apps are a better experience than Office Web Apps; offering richer edit and ‘create’ capabilities similar to Office Desktop Apps (aka M365 Apps for Enterprise). Many commonly used devices will now be eligible under the terms of the license, such as iPad Air, Samsung Galaxies, etc. Note — F1 Plans don’t include Office Mobile Apps or Email, but the screen size will be useful for Teams usage.

Microsoft Learning

Removed references to Imagine Academy. The offer is now provided at no cost via education license Agreements and the terms are provided during the signup process.

Subscription License Suites

Added Microsoft Defender for Endpoint Plan 1 to the Microsoft 365 Enterprise and Education tables.

Workplace Discount Program

There were updated references in Home Use Program to Workplace Discount Program. This is just to align with Microsoft branding with no changes to terms of use. The Workplace Discount Program enables suitably qualified employees to purchase software and Surface devices at discounted rates.
