What to look for in the right musician/band for the client’s big day

Choosing music for weddings is hard work. You need to manage the interplay between finding musicians you like, who you can afford to bring in and then managing expectations of the guests and more importantly — the couple.

It becomes difficult without having heard the musicians/band or spending hours viewing their performance recordings.

Auditions and rehearsal dinners can help but it adds to the burden of managing the whole event. Calling musicians, scheduling an appointment to meet and audition them is not a solution when you have to manage tens of events together.

Here’s what wedding planners must keep in mind:

1.Availability —Every conversation must begin with if the musician even available for the day you want.

2. Budget — Well we may wish Jay Z or Elton John could come and croon at the wedding but if the budget is limited you need to plan accordingly.

3. Predictability — Imagine there's a wedding planned in two hours and the musicians are nowhere around and phones switched off. Not an enviable position to be in that wedding planners shoes. As they say, a good planner always has a plan A, plan B and a stellar one also has a Plan C !!

Keep backup musicians ready even if you need to pay them a small amount to retain their backup commitment.

In the current scenario, the process of quotes and negotiations and auditioning would make it a month worth of preparation for a single event.

4. Music Genre — Theme match — A client who wants a Victorian theme wedding wouldn't be amused or smiling of you get them a hard rock band. You need to identify the right musicians and bands to play to match the theme and ambiance of the wedding. You want the music to feel a part of the day not stand out as a misfit.

This probably is the most time-consuming bit. Exploring talent, shortlisting the bands and then auditioning/watching them perform/going through their tapes and recordings etc to ensure their promise is key to you delivering value as a wedding planner.
