In praise of the heroic event planners, because events do not grow on trees
We are going to compare three aspects of an event from the perspective of an attendee and the perspective of the organisers!
We will consider budgeting; the athletes/competitors/performers; and ticketing. Spectators expect an event to take place without a hitch. They expect the world’s best talent to appear. And they expect their tickets to be straightforwardly purchased, swiftly delivered and easily used.
The event might only be one session, concert or match lasting just a few hours for the consumer — but for the organisers it could be the year or more’s work.
The simpler it is for the attendee, the more complicated it probably was for the organisers!
Finance
Obviously the event is going to go ahead, right?
The event’s very existence might have been under threat before you even knew of its existence!
Risks and issues proliferate throughout the planning stage but the budget is front and centre of the event’s initial conception. A lot of this make-or-break planning will happen before the hosting of the event is even officially conceived.
At one point or another every event will have been perceived as a financial risk — be grateful that the event organisers came through for you!
The Athletes
For the spectator they just turn up and play, compete, or perform!
For the organiser it is an immense logistical undertaking comprising travel, accommodation, security, catering, scheduling, and the rest!
Of course, the Olympic Athletes’ Village jumps straight to mind, but for any event there are the logistics and expenditure of flights, hotels, taxis, and all the staff that go with that…
The spectator just needs to turn up with a ticket and walk in…
Ticketing
And the spectators will demand that that process be as simple as possible!
This huge administrative task encompasses supplies, logistics, the ticketing platform, people hours — and the robust technology to ensure of no blips at event-time!
Attendees simply want straightforward purchase, swift delivery, and easy use on the day.
They don’t have to sweat a The-Thick-Of-It-style massive irretrievable data loss, or such like technological catastrophe!
