Whiteboard is the easiest way to organize your tasks and be more productive with your day. From the to-dos at home, to the tasks and projects you are collaborating on with others, Whiteboard is the best way to help you make the most of your day.

Let’s take a few minutes to walk through the basics on how to get organized and be productive with Whiteboard.

Getting organized in workspaces

In Whiteboard, everything is organized into workspaces. Create to-dos and list, upload files, leave notes and collaborate with others all within workspaces. Learn how to best setup and manage your projects with Whiteboard here.

You can organize just about anything with a workspace. Whether you are designing a website, working with a client on a project or just keeping a list of to-dos around the house, a workspace is the way to organize it all!

Starting with your first to-do

Trying to get all your tasks into Whiteboard in your first day could be stressful. Instead of trying to get everything in at once, let’s start with your top 10 to-dos. As more tasks come up or when you start a new project, add them into Whiteboard! This will make it easier to focus on what you need to accomplish.

Once your to-dos have been created, they can be prioritized by dragging and dropping them into the order they need to be accomplished.

Anytime you come out of a meeting with tasks or need to get to-dos off your mind and into a list, open up Whiteboard and add them via quick entry. Even the little to-dos. This will help you in remembering to put your tasks into Whiteboard, making it second nature. The more you put into Whiteboard, the more you will get out.

Focusing on Today

With your to-dos now in Whiteboard, every morning you wake up, your to-do list for the day will be ready for you all within the My To-dos area. To-dos will populate automatically in your list for Today based upon a to-do’s start and due date.

As you finish your list of to-dos, you can swipe them off as Done and for the ones you just can’t get to, you can swipe those off to Later and specify when you want them to appear back in your list for Today.

As you work throughout the day, it is great to get into a habit of working on and clearing to-dos from your list for Today. There is no need to be stressed by the big picture of what is needing to be accomplished not only today but also weeks or months from now.

For those days you are a rockstar and complete your to-do list early and still have time to knock some to-dos out, you can swipe to-dos over into your list for Today manually from your Later list under My To-dos or from the To-dos section of any workspace.

Collaborate with others

Now that you are up-to-speed in Whiteboard, you can start collaborating with others at work or with projects you are working on with others such as organizing and planning a community event.

You can add individuals to any existing workspace or quickly spin up a shared workspace and invite others. Once you have other individuals in the workspace, you can delegate to-dos and share thoughts and feedback on any task.

Collaborating in Whiteboard with clients on projects is amazing as well! By inviting your clients to a workspace and marking them as a guest to the workspace, you can hide to-dos, lists and files that are only intended for you to see. Now you can keep all the items related to the project in once place without having to share everything with your client.

You can quickly review what has taken place in a workspace all from within the Activity view. This is where you will find a log of any activity that has taken place, from to-dos being created and completed to comments and other exchanges amongst everyone. This is a great way to get caught up on everything that has taken place without having to interrupt people’s workflow.

Finding your rhythm

Once you get comfortable with Whiteboard, you will find your rhythm and maximize the value you get from Whiteboard.

If you have one or ten workspaces, you can efficiently manage your whole day from one view in your My To-dos Overview. Just like the My To-dos view in the workspace level where it shows all your to-dos in that particular workspace, in your My To-dos Overview, your to-dos from across all your workspaces are consolidated into one view. No more jumping around from workspace to workspace to plan and manage your whole day.

We find that people that review their day the night before hit the ground running and end up being more productive the next day. If you are more of a morning person, you can opt-in to receive a daily reminder email of your to-do list first thing in the morning so while you are enjoying your cup of coffee and going through your inbox, you can get caught up on what you are going to accomplish for the day.

As a rule of thumb to help you make everyday a happy day, start your day with only 5 to-dos on your list. It always feels better to add to-dos than it does to have to push them off to later because you had too many on your list.
