How to write Letter

Letter Writing is the oldest form of communication which is use to communicate with each other. It is an art that needs precise attention. Despite the prevalence of e-mails and text messages, everyone has to write letters at some point in their life.

There are two types of letters (1) formal letter and (2) Informal letters.

  1. FORMAL LETTER

It includes business letters, official letters, applications, complaints, letters to the editor, etc.

2. INFORMAL LETTER

It includes personal letters that are written to our friends, relatives and family members.

TIPS to REMEMBER: There are certain rules need to be followed while writing a letter. Make the letter clear and use simple, short and easy to understand words. Even if you are writing a complaint letters, remain polite and courteous.

Every letter is divided into:

  1. The Heading
  2. The Greeting
  3. The Body
  4. The Complimentary close (The subscription)
  5. The Signature

(1) The Heading : The heading comprises of address of the writer and the date on which the letter is written.

For Example:
504, Radha Apt,
90 feet road,
Bandra (W)
Mumbai : 400050
Dt. 14th Sep, 2017

NOTE: The date can be written in any of the following ways:
25th Dec, 2017; 25th December, 2017; December 25, 2017.

(2) The Salutation: It is a complimentary term used to begin a letter. It ends with a comma.
For Example:
Dear Uncle Jimmy, My dear Uncle

(3) The Body: The body of the letter contains the main text. This includes the message you want to convey, It is divided into several paragraphs.

(4) The Complimentary Close: It is the word or phrase that appears before the sender’s signature. No apostrophe is used in ‘ Yours’ . A comma should be applied after all forms of a complimentary close.
For Example:
Yours truly, Yours affectionately, Yours loving sister

(5) The Signature: One should affix the signatures just below the subscription . It may not end with a full stop.
For Example:
Yours faithfully,
Raj Diwan

Note: Formal letters always require a subject line which clarify the purpose of the letter.
For Example:
Sub: Apply for the post of …………………..
Sub: Issuing Duplicate Mark Sheet.
