The 24 — Hour daily circle of life keeps mocking you to hustle in different directions. Sometimes it becomes so overwhelming that you just want a break as you are not in a “win-win” position. You break down as your brain is unable to process more which is in need of a break too.

It is found that only 20% of people set goals for themselves of which only 30% of those 20% succeed in achieving those goals. There is a thin line between how smart you work vs how hard you work. This may be due to a scattered day at work which you might not really give a thought about.

The cluttered digital life has been one of the high-priority points to blame for the inefficiency in your work that sets you off from your high productivity path. Does that even matter when you see the entire world slowly getting hooked on it? Well, that is a debatable question due to the different points of view that everyone has about it.

You see, in life, lots of people know what to do, but few people actually do what they know. Knowing is not enough! You must take action.

The inefficiency comes into play because you refrain from the not-so-easy environment and do something that doesn’t count toward your productivity. A small strategy setup or change in your current one can bring in a change in your productivity system else you would end up in a big loop of procrastination.

When you work a little smart things change not drastically but slowly and steadily. What can be those adaptive strategies that you can put into your daily routine?

  1. The 1–2–3 Rule: If you are struggling to get things done, the “1–2–3 Rule” strategy can help you streamline things. You will choose 1 — High Priority, 2 — Medium Priority, and 3 — Low Priority and dose off by the end of your 8 — hour shift. Once you’ve mastered it, change the numbers accordingly, maybe a “1–3–5”, “2–4–6”, or “3–6–9” based on your productivity speed.
  2. The Kanban Way: The most commonly used method where you get a chance to put all of your tasks into different swimlanes which can be prioritized based on their due date or rank. The correct app can help you with a “win-win” situation. It helps you maintain a hierarchical structure of projects which you can apprehend just by looking at the swimlanes.
  3. The Colored Sticky Notes: Most of you just write on the sticky notes and forget about it. Try it in a slightly different manner. Make your own color coding like “Red-Yellow-Green” where you write the high priority on Red, Medium on Yellow, and low on Green and keep crushing them as you complete. A slow and steady decrease in them on your wall will bring the challenge in you to complete it at a faster pace so that you don’t see anyone among them hanging on your wall.
  4. The 3–2–2–1 Rule: Divide your day into 4 halves where the first 3 — Hours are the ones where you wipe away the most important tasks for the day, the 2–2 Hours are the ones where you complete the medium and the fast priority tasks, and the last 1 — Hour you end up concentrating on any previous or present-day fixes or even take up any ad-hoc requests as well like meetings, bug fixes, and much more.
  5. The Due Grouping: If you are a monthly level planner you can group the tasks based on the due date without really caring about the priority. It can be grouped like “Due in 1 week”, “Due in 2 Weeks”, and so on which will help you finish each one of them based on priority and deadlines thereby reducing the chaos in your daily or monthly life cycle.
  6. The Batching Technique: Group similar tasks under one batch and try to complete the different batches one by one based on your set priority. This lets you focus on a specific area for a couple of minutes or hours then switches you to a different area of expertise together avoiding confusion all the way long.
  7. The Quadrant Method: The 4 — Quad method is where you divide the tasks from the most important to the least important. You then place them into the respective quadrants and complete one task from each quadrant in the first iteration then the second, and so on until you see none on each of them.
  8. The 60 + 40 — Automation + Manual Method: Find the important statistics for automation here. Make use of apps like IFTTT, Zapier, or others that fall on top of your mind to automate your work. Try to automate at least 60% of your work and keep the rest of 40% for manual handling. It helps you perform tasks with ease and help you improve your productivity.
  9. The Group to Split Method: When you have big tasks, try if you can split them into 5 to 10 mins tasks under their own group. It can take any format, priority group, parent-child group, Do-it now or do-it later group, and then complete each of them with ease. When you see smaller tasks you tend to complete them faster rather than making them more chaotic.
  10. Distraction Vs Non-Distraction Method + 1–2–3 Rule: Very often you see tasks that have too much distraction in your daily routine. Segregate them into their buckets and follow rule 1 mentioned above which is the “1–2–3 Rule”. When distracted tasks are segregated they often help you concentrate and complete the others without any hurdles. Helps you efficiently work with better commitments and ease.

You can try your best to fit the ones that are present above in your daily routine. This can only work when you diligently follow the chosen one. Also, if you feel that a combination of 2 or more rules solves your problem it is even more beneficial because it can bring in more alignment. If you have any more that you use, try to add it up so that others can see if that can be implemented as well and whether it can stand as a good fit.
